MySquash Policies

This page contains a summary of the various policies relating to the correct use of the MySquash platform for clubs. These are also available in full on the Policies page of the Squash NZ website.

  • MySquash Player Subscription Type Definitions

    All affiliated clubs are constitutionally required (Clause 5.3.4) to report member information via MySquash.


    All affiliated club members must be recorded in MySquash under one of the following player subscription types:

    • Competitive Adult

    • Lifestyle Player

    • Junior Player

    • Digital


    The cost of a player subscription is included in the club membership fee paid by the member. This process is referred to as “bundling”.


    This applies to any person who pays a membership fee to play squash, whether they participate socially or competitively.

    Clubs are responsible for recording all current members and their subscription types using:

    • Hello Club

    • Hello Club shell accounts

    • Pay2Play


    Member numbers are recorded monthly by Squash NZ and invoiced to clubs in arrears, three times per year.


    The table below outlines how club members should be categorised based on their membership type and how they participate at the club.


    Competitive Adult

    Example - Pays a full adult membership fee and participates in one or more,

    • Graded tournaments 

    • Interclub competitions 

    • Super Champs or other representative events


    Junior Player

    Example - Pays a junior membership fee and may participate in one or more of the following:

    • Playing with parents or club members (subject to club booking rules) 

    • Weekly junior club nights or club run sessions 

    • Weekly junior coaching sessions 

    • Junior one day tournaments or interclub 

    • Senior tournaments or interclub competitions


    Lifestyle Player

    Example - Any person who pays a membership fee to play squash and is not a Competitive

    • Social play with friends or family 

    • Weekly club night 

    • Club box leagues or ladders 

    • Infrequent or casual play (e.g. once per month)


    Digital

    Example - Does not require a playing subscription. May include:

    • Pays a membership fee but has no squash playing rights 

    • Books courts on a pay to play basis without paying a club membership fee 

    • Is a secondary or country member and already holds a paid subscription at their primary club 

    • Pays a membership fee to access non playing facilities only (e.g. bar or social areas)


  • Treatment of Corporate Memberships

    Some clubs offer corporate or sponsorship memberships for local businesses. These allow employees of the business to use club facilities under agreed terms.


    A standard club membership applies to one individual only and cannot be transferred. Corporate memberships differ, as they typically allow multiple employees of a business to access the club under a single agreement.


    Where a corporate membership allows employees to play squash:

    • The business profile in MySquash must include at least one membership type linked to a Lifestyle Player subscription.

    • This aligns with the principle that any person who plays squash must be recorded as at least a Lifestyle Player.


  • Dual Code (Multi Sport) Memberships

    Some clubs offer memberships that include access to multiple sports (e.g. squash and tennis).


    If a member uses the squash courts, they must be recorded as:

    • Lifestyle Player (minimum), or

    • Junior Player if under 19 years of age


    This applies regardless of whether squash is their primary sport.


  • Associate Memberships

    Associate memberships are commonly offered to parents or guardians of junior members. These memberships typically allow:

    • Casual hitting only with their own children

    • No wider participation in club activities


    Associate members should be assigned a Digital subscription, as they are not participating independently or socially beyond their family.


  • Country / Dual Members

    Some clubs offer a country or dual membership for players whose primary club membership is elsewhere, but who wish to access another club for convenience (e.g. closer to home or work).


    In these cases:

    • The player should be assigned a Digital subscription at the secondary club

    • The player must hold a full, paid membership (with an active player subscription) at their primary club


  • Overseas Players

    Temporary Event Participation

    An overseas player visiting New Zealand temporarily may be granted a temporary Competitive Adult subscription for a single event.


    Process:

    1. The player creates a MySquash profile and selects the Digital subscription.

    2. They email support@squashnz.co.nz with event details.

    3. A temporary player subscription is added to allow event registration.


    Short Term Club Membership

    If an overseas player joins a club for a short period:

    • They receive the appropriate player subscription through the membership fee paid to the club.


    PSA Players

    For PSA players competing in PSA events run through MySquash:

    • The host club must email player details to support@squashnz.co.nz

    • Squash NZ will create profiles and apply player subscriptions

    • No charge applies for this setup


  • Changing (Swapping) Player Subscription Types

    Clubs must not change or remove a player’s subscription type:

    • While their current club membership is still valid, or

    • Without a corresponding change to the membership type the player is paying for


    The club membership fee includes the MySquash player subscription fee, which the club collects on behalf of Squash NZ.


    Reducing or removing a player’s subscription without a valid membership change:

    • Denies access to features already paid for

    • Breaches MySquash policy


    Where there is suspicion of subscription manipulation to avoid fees, Squash NZ may:

    • Request evidence of membership changes (e.g. cancellation or downgrade)

    • Charge the applicable player subscription fee based on the subscription held for the majority of the previous six months


  • Opposite Hand Participation Policy

    Players who are physically unable to compete using their dominant or traditionally preferred hand may apply for approval to participate in national events using their opposite hand.


    This accommodation is intended to support inclusivity, while preserving the integrity and fairness of competition.

    In addition to meeting all existing eligibility requirements for the relevant competition, all of the following conditions must be met:


    Eligibility Conditions

    1. Physical Limitation Requirement

    The player must have a genuine physical limitation that prevents them from using their stronger or preferred hand.


    2. Verification of Injury or Condition

    The player must provide written confirmation from a qualified healthcare professional.

    The letter must:

    • Clearly describe the nature of the injury or medical condition, and

    • Confirm that the condition prevents the player from using their stronger hand for the duration of the competition.


    3. Grading List Requirement

    The player must have only one active player code listed on the grading list, which must correspond to their opposite hand.


    4. Submission Deadline

    The medical verification must be submitted to the tournament organisers no later than the official closing date for entries for the competition.


    5. Approval Process

    • All requests will be reviewed initially at district level.

    • Final approval must be signed off by Squash NZ.

    • Decisions will be based solely on the information provided in the medical verification.


    This policy ensures that players facing genuine physical challenges are reasonably accommodated, while maintaining a fair and consistent playing environment for all participants.


  • Approved use of Life Membership subscriptions

    This policy defines the criteria for life membership subscription exemptions within Squash New Zealand Poipātū Aotearoa’s (SNZ) MySquash subscription model.


    Its purpose is to ensure that only individuals formally recognised for outstanding service to their club are exempt from SNZ player subscription fees, and to prevent misuse of the life membership classification.


    Definition of Life Membership for Subscription Exemption

    To be eligible for an SNZ player subscription exemption, a life member must meet all of the following criteria:


    1. Exceptional Service Recognition

    The individual has been awarded life membership by their club in recognition of long term, outstanding service to the club.


    2. Formal Record

    The life membership has been awarded in accordance with the club’s constitution and is formally recorded in one or more of the following:

    • Club annual reports

    • Official club minutes

    • Verified historical club records


    3. Honorary Status

    The life membership is honorary in nature and is not associated with:

    • Financial arrangements

    • Performance incentives

    • Service for membership exchanges


    Exclusions from Subscription Exemption

    The following categories of members do not qualify for an SNZ subscription exemption under life membership:

    • Players granted free or discounted membership as an incentive to represent the club

    • Members receiving free membership in exchange for services (e.g. coaching, administration, sponsorship, or facility maintenance)

    • Individuals coded as “life members” for reasons other than formal honorary recognition


    Club Responsibilities

    Clubs are responsible for ensuring accurate and appropriate use of life membership exemptions. Specifically, clubs must:

    • Accurately report eligible life members annually

    • Ensure that only individuals who meet all policy criteria are classified as exempt life members

    • Avoid using life membership classifications to circumvent SNZ player subscription fees


    Misuse of life membership status may result in review and financial adjustment.


    Policy Enforcement

    SNZ reserves the right to:

    • Review and verify all reported life memberships

    • Request supporting documentation, including (but not limited to): 

    o Club constitutions

    o Club minutes

    o Annual reports

    o Historical records


    Failure to provide adequate evidence or demonstrate compliance may result in the removal of the subscription exemption and retrospective charging of applicable fees.



  • SNZ Competition and Player Records Policy

    Relates to the treatment of match results processed through SquashLevels from sources outside of MySquash for the purposes of determining eligibility for events and team selections.

  • MySquash Shell Account Policy

    Effective: 1 September 2025


    1. Purpose

    This policy outlines the conditions under which Squash New Zealand Poipātū Aotearoa (SNZ) provides and funds Shell Accounts for affiliated clubs using the MySquash platform. It ensures consistent player registration and data integrity across all clubs, regardless of their club management system.


    2. Scope

    This policy applies to all SNZ-affiliated squash clubs that do not use Hello Club as their club management platform but require access to MySquash for managing player registrations, competition entries, and related administrative functions.


    3. Definition of a Shell Account

    A ‘Shell Account’ is a club-level administrative account on the MySquash platform that enables clubs to manage their members’ MySquash profiles and competition participation without direct integration with Hello Club.


    4. Eligibility and Funding

    • SNZ will fund Shell Accounts for:

    • Clubs that signed up to MySquash before 31 March 2025, and

    • Clubs that do not use Hello Club but require access to MySquash.

    • SNZ will continue to fund Shell Accounts for these clubs unless:

    • The club transitions to a third-party provider that is not Hello Club, or

    • A club that previously used Hello Club switches to another provider.

    In either of these cases, the club will become responsible for the full cost of the Shell Account as per the pricing schedule.


    5. Shell Account Pricing Schedule (GST Exclusive)

    Period Monthly Fee per Shell Account

    Jul – Dec 2025 $10

    Jan – Jun 2026 $15

    Jul – Dec 2026 $20


    Note: Clubs joining MySquash after 31 March 2025 and not using Hello Club may be charged according to the above schedule, up to the discretion of SNZ.


    6. Club Responsibilities

    Clubs using Shell Accounts must:

    • Ensure all members are registered in MySquash with accurate and complete data, including:

    • First name, last name, email address, date of birth, and gender.

    • Maintain a current membership on the member’s profile in the Shell Account at all time while they have an active club membership.

    • Maintain the security of their Shell Account credentials.

    • Comply with SNZ’s data privacy and protection policies when handling member information.


    7. Integration with Hello Club

    • Clubs using Hello Club do not require a Shell Account.

    • Hello Club provides direct integration with MySquash, enabling seamless member registration and competition management.


    8. Policy Review

    This policy will be reviewed annually and updated as needed to reflect changes in platform integration, funding arrangements, or club management practices.

MySquash Competitions can now be used to run Racketball (Squash57) competitions or record casual Racketball match results. Individual Competitions, Team Competitions, Box Leagues and Ladders now have a ' Sport ' setting, allowing users to select 'Racketball'. Matches with this setting will automatically be excluded from SquashLevels. Development is currently underway to send these matches to the new Squash57Levels system, which will give Racketball players a local, national and international ranking . Any matches recorded prior to the feed going live will be retrospectively processed. As with SquashLevels, the more matches that are recorded, the more accurate the Levels for all Racketball players will be. All other steps to set up a Racketball competition are the same as for Squash, and can be found on the following pages, Individual Competitions for Club Admins Team Competitions for Club Admins Creating and Managing a Box League Creating and Managing a Ladder One-off Racketball matches can be recorded in the Casual Results page. These will also feed through to Squash57Levels.

This guide explains how club administrators can add interclub teams in MySquash. Before You Start You must have Club Admin access to manage teams. If you cannot see the Team Competitions menu, you likely do not have the required access. Please contact your District Administrator to request Club Admin permissions. Step 1: Access the Competition Log in to MySquash . Go to Team Competitions . Click on the competition you want to add teams to. Select the Teams tab. Step 2: Add a Team Click Add Team . Select the Division Type (usually Men’s, Women’s, or Masters). Select your Club (only your club should be available). Leave Division No. blank. Enter the Team Name . Click Save . Step 3: Add Players to the Team Click Add Player . Start typing the player’s name. When the player appears in the list, click their name to select them. Set the player type to Regular . Click Save Player . Repeat these steps until all players have been added. Step 4: Assign the Team Captain  Use the Team Captain dropdown to select the captain from the added players. Click Save to finish.

There are no changes to the scoring rules and recommendations for 2026. Districts will set the scoring rules for local interclub competitions, while clubs set the scoring rules for their competitions and tournaments. The rules for national events and recommendations for all other events are as follows; Scoring All junior events will be played using PAR (point a rally) 11. Where a junior competes in a senior event the below ruling based on grading will take effect. We recommend using PAR (point a rally) to 11 scoring for higher graded players (roughly B1 and above), and to 15 for players graded roughly B2 and below. At national events, PAR to 11 scoring is used for; B Grade Superchamps, B Grade National Graded Champs, Cousins Shield / Mitchell Cup, NZ Masters Age Group Championships, NZ Masters Club Team Championships (top division only), All junior age group events, and the top divisions of open events. PAR to 15 scoring is used in grades C-F / J in Superchamps and the National Graded Champs, all divisions except Div 1 of the NZ Masters Club Team Championships, and where appropriate (using the guidelines above) for lower divisions of open events. The scoring system used should be the same for every player in a tournament grade / division.

The MySquash Tournament Dashboard provides a real-time visual display of Upcoming Matches , Active Matches , and Completed Matches - eliminating the need for manual whiteboards or spreadsheets. To use it, you will need a PC connected to an external screen such as a TV or projector. Prerequisites To display matches on the dashboard, all matches must be scheduled using the Calendar function within MySquash.

The module lets you: create and manage events; seed and export team lists; create or import draws; view ladders/results; apply live scoring; enter/edit results; send to the grading list; and auto‑update ladders.
